Missing Information?

Here you can find emails that we’ve sent out. We have noticed that some parents have typos in their email addresses. You can use MailChimp to modify your address if you figure this out. These emails have all of the odd programming language that allows us to personalize them and many of the links no longer work, but you can always email Dr. Erin with any questions.

 

Please note that some emails have been sent out multiple times. The dates provided indicate that they should have been received by everyone on those days.

Camp starts tomorrow!!!!

We can’t wait!

We’ll see you bright and early in the morning. My volunteers will be getting rooms ready and setting up check-in and so won’t be available to greet you if you arrive early. So, if you arrive a little early, just hang out until 8 am and we’ll open the doors to get you checked in. Remember that you need to park across the street or by the Nisson Towers on 1000 East (immediately to the east of our dorm).

6/22/17 to guardians

This was just an email suggesting that campers make sure to have sandals for the pool so that they don’t burn their feet on hot cement. I’m bringing Tevas to camp for hiking and the pool, but flip flops are fine for this one activity (not any others).

Camp Check-In Information

Camp is next week!

We’re getting excited and hope you are too.

Camp is next week. If you’ve missed our emails, you can find the key information on our website HERE.

We’ve had a number of last minute changes to our camper list so it may be a few days before the counselors email <<Camper first name>>. We’ve found that the girls get excited to meet their counselors after the emails and so like to avoid switching them at the last minute as much as we can.

Check-In Information
Camp check-in runs from 8 am to 8:45 am on Monday the 26th. Check-in will be in the ground floor of the Campus View Apartments dormitory at DSU where we will be staying this year. It is on the south side of 100 South between 900 and 1000 East.

Classes are in session and so the parking lot immediately west of the dorm is likely to be full (and policed for parking permits). Instead, we strongly recommend that you park across the street from the dorms or in the lot at the SW corner of 100 South and 1000 East just to the east of the Nisson Towers (where we have stayed in previous years).

Have you seen our emails?

We’re still hearing from guardians who haven’t seen our emails about camp.

Dear << Test First Name >>,

We apologize for any confusion this has caused. Most families have found our emails in their spam boxes, but some people have settings that delete spam after a day or a week and so you may not be able to retrieve them all.

So far, our emails should have included (not all are applicable to all campers and their families):

  1. An immediate registration confirmation (just looks like a copy of what you put into the form)
  2. An email to let you know when to expect more emails from us.
  3. An email with a link to request roommates -if you missed this one, it’s probably too late, but you can email me directly on June 19th and I may be able to make a couple of last minute adjustments.
  4. An email with a packing list for camp
  5. An email (or several) if you applied for a fee waiver

If you need to update << Test Camper first name >>’s information, I will send out a final form for health information (we just ordered t-shirts so those can’t be changed anymore unfortunately) and emergency contact information that we will want you to fill out and bring with you to camp.

Below are some FAQs based on your emails to us and the packing list we sent out earlier.

In addition, please expect to see the following future emails from me about camp this year:

  1. Last minute instructions including campus maps and drop-off pick-up information.
  2. An email with forms that we need you to bring to camp check-in.
  3. An email from << Test Camper first name >>’s team counselor introducing herself to << Test Camper first name >> -this will go to the email address provided for << Test Camper first name >> if it is not the same as your own.
  4. An email or two during camp with a photo or two so you can see what we’re going.
  5. A reminder email about the last day of camp.

The camp schedule finally came together this Monday and I can’t tell you how excited I am for this year. Some old favorites are returning and we’ve added some amazing new activities. Please do not hesitate to contact me if you have any questions. Email is generally better as I am in and out of my office a lot right now.

FAQs:

1. When will I find out if << Test Camper first name >> received a fee waiver (not applicable for most campers)?

Answer: All full fee waiver recipients have been notified -check your email as two haven’t been confirmed yet. If any of those two are turned down, we will start to offer them to the remaining three applicants. If they are accepted, we are working on funding for partial waivers.

2. Can we still request a roommate -we just learned that << Test Camper first name >>’s friend is attending camp?

Answer: Please email me on June 19th and I will see if a last minute change is possible, but only about 20% of last minute requests are doable (roommates are not allowed to be on the same team unless there is a very special situation -typically medical which makes switching now that teams are set kinda tricky).

3. What should << Test Camper first name >> bring for camp?

Answer: See the packing list at the end of this email. Please note, the camp is all-inclusive. The fee (plus all of our fundraising) covers the cost of all food (including snacks) and activities. PLEASE do not send << Test Camper first name >> with a lot of money (no more than $20). If << Test Camper first name >> has forgotten anything important, we will either contact you or see if we can provide it (I collect hotel toiletries to have on hand for camp).

4. Can you tell me more about the dorms?

Answer: We will be staying in the new dorms. The rooms are arranged in suites with two doubles (two beds) and two singles (one bed). We will be assigning one of our camp counselors or DSU professors or AAUW volunteers (only females) to at least one of the singles in every suite -anyone spending the night in the dorms in suites with campers has been through background checks. Each suite has a common area and two bathrooms that are shared. The rooms are air conditioned and have wi-fi (it isn’t fantastic but will work if you are worried that you might need to Facetime << Test Camper first name >> to help with homesickness). The rooms will have a bed, a dresser, a desk, and a chair -that is it. No linens are provided, no pillows are provided, you get the idea.

5. What will a typical day be like?

Answer: There is no such thing at eSMART. << Test Camper first name >> may be in a computer lab and then in a art studio in the same day. She will spend a day at Zion National Park sketching local plants and hiking (and other fun stuff depending on the day she goes). She will be working with a retired HR director to learn how to shake hands and dress professionally and then will be in the DSU pool swimming. We have three evening activities planned -all low key and super-fun (ever see an eagle in person outside of a zoo?). We will be running STEM activities from 9 am to approximately 5 pm (to noon on Friday to allow for a quick closing ceremony) with short breaks built in and plenty of down time in the evenings to make friends and relax.

6. What if << Test Camper first name >> can’t attend camp?

Answer: Please let us know ASAP. We may be able to refund your fees if we are able to fill her spot with a new camper. I will send you my cell phone number just before the start of camp so that you can text me directly if something happens the morning camp starts.

7. Can << Test Camper first name >> attend camp again next year?

Answer: As eSMART is increasingly popular, we must limit camp to girls who have not yet had a chance to attend and we really want to focus on girls entering the 8th grade. We do sometimes make allowances when we have some unfilled spots, but you shouldn’t assume those will be available. However, there are some wonderful day camps at DSU every summer and a sleep-over camp outside of Cedar City.

8. Can << Test Camper first name >> bring a cell phone to camp?

Answer: We do allow campers to bring cell phones to camp although many activities do not allow them to be out and used. Please be aware that there is no cell reception in Zion National Park. If there is an emergency with a camper while we are there, we will work with the park staff to notify your emergency contact immediately.

9. What time does camp check-in start and can we check-in early?

Answer: Camp check-in will start at 8 am and go until 9 am. We cannot accommodate early check-ins. All parents are invited to attend a camp orientation from 9-9:30 am. Details will be sent out in a future email.

10. What will you provide << Test Camper first name >> at camp?

Answer: We will be providing a simple continental breakfast in the dorms consisting of fruit, simple baked goods (muffins and pastries), cereal, and whatever else fits into our budget when we go shopping at CostCo. Lunches will either be in the DSU cafeteria or sandwiches from Even Stevens (for our day at Zion -they are great partners supporting eSMART!). Dinners will either be in the DSU cafeteria or pizza served at our movie night. All campers will receive an eSMART t-shirt, a DSU bag and water bottle, a composition notebook and a pen and any materials needed for their activities. We can work with you if << Test Camper first name >> has any medical issues with certain foods.

11. What’s this about using the DSU pool? Is that safe?

Answer: We will not only have lifeguards on duty Thursday afternoon when we are there, but we also have additional volunteers who will be tasked with keeping an eye on the girls. If << Test Camper first name >> cannot swim or chooses not to swim, she can still participate in all of the activities except for one that she can easily observe. Every year we have a couple of campers who choose not to get into the pool for various reasons.

12. Can we visit << Test Camper first name >> during camp?

Answer: While we certainly won’t prevent you from visiting, we feel very strongly that families should allow their girls to use camp to make life-long friends and safely test out a little independence. We respectfully request that you do not visit during camp. If you need to visit, we will provide you with the protocol during camp orientation. For safety reasons, under no circumstances will we give adult visitors access to << Test Camper first name >> if they are not present during camp check-in or if arrangements have not been made during check-in (we’ll provide you with forms for this purpose via email).

13. Will you provide transportation for << Test Camper first name >> to and from camp?

Answer: All campers are responsible for getting to and from the DSU campus. If you choose to carpool so that another parent is bringing << Test Camper first name >> to camp check-in, it will be especially important for you to fill out the forms we email you.

14. Are you crazy to spend a week sleeping in a dorm with 80 middle school girls?

Answer: Yes, yes I am. It is the most work and the most fun I have all year.

15. Will anyone else be staying in the dorm at the same time?

Answer: There are some athletic camps happening at the same time as eSMART. Those camps will occupy lower floors in the dorms (eSMART is in the top two floors) and we will have counselors on patrol during the night to make sure that no one leaves our floors or tries to sneak onto the floors. We have never had an issue with these campers in the past aside from making a bit too much noise after our lights-out.

What should your camper bring with her?

With camp just around the corner we wanted to send everyone a packing list now. All of our instructors and volunteers are excited to meet you and have a great program planned with lots of fun. Below is our list of things to pack for camp. Remember that the girls will be staying in dorms which have beds, desks with chairs and dressers, but nothing else. There are no sheets, blankets, pillows, towels, or bath mats -just a bare mattress.

***If your camper has any special medical needs, please email me this week so that I can assign her to a room near my own.

We will email out the location of the dorms and other places you may need to locate in a few weeks with forms that we’ll need you to fill out before the start of camp.

Roommate requests and more

We are ready to accept roommate requests finally!

Dear << Test First Name >>,

If you haven’t already, please add our email address to your list of contacts (esmart@aauw-stgeorge.org). We’ve had several parents on our mailing list not see our emails because they have ended up labelled as spam.

<< Test Camper first name >> can submit her roommate request HERE.

This form not only allows for roommate requests, but it also has the ability for you to update some information that you submitted during camp registration. Roommate requests are due by May 31st.

According to our records, you entered the following information:

If you need to update any of this information for << Test Camper first name >>, you can do so without having to enter a roommate request. We can’t wait to meet you!

You’ve registered for eSMART so now what?

Hi << Test First Name >>!

Can you believe that school is almost out? Camp is just seven weeks away!

We’ve had a few emails from parents asking if you’re registered. You or your guardian should have received an email that confirmed your registration information. If you didn’t, please reply to this email and let us know.

We are still waiting to fill the last few spots for camp, but we’re moving forward with plans.

By the end of next week, we will be emailing all fee waiver applicants individually to let you know if we were able to fund your request. Those emails will go to your guardian if they entered a different email address.

Next Monday, the 15th, we will send out a short form so that you can request a roommate and update any information you may have submitted when you registered. Remember that the dorm rooms only accommodate two campers so groups of three won’t work.

The first week of June, we will send out a packing list. The rooms only include the bare essentials: a bed with mattress, desk and chair, and a dresser.

P.S. if your guardian registered more than one camper, only one of you may receive our emails because our system doesn’t allow us to send two copies of the same email to the same address. If you’re worried, just email me with the name of the other camper who registered with the same address so that we can confirm they are in our system and start sending them emails from my @dixie.edu address.
